Closing the till is not the same as closing the day. A useful end-of-day report should tell the owner what was sold, how it was paid, what was cancelled, which channels produced the sales, what moved through stock and whether the numbers make sense together.

Key takeaway

The EOD report should let a manager reconcile the day without rebuilding totals from the billing screen, card terminal, delivery records and spreadsheets.

What an EOD report should answer

At minimum, management should be able to answer four questions quickly: what did we sell, how was it paid, what needs explanation, and what should we carry into tomorrow?

That sounds simple, but it is easy for a restaurant to have correct total sales and still have a collection difference because an order was recorded under the wrong payment mode, a delivery settlement is pending, or an open table was never closed. The report should make those differences visible rather than hiding them inside one grand total.

The 12 numbers worth checking

Use the same checklist every day so unusual values stand out.

  • Total sales
  • Gross sales and net sales
  • Cash collection
  • Card collection
  • Online / aggregator collection
  • Total bills
  • Cancelled / voided bills
  • Discounts and returns
  • VAT summary
  • Dine-in / takeaway / delivery / online sales
  • Item and stock movement
  • Daily profit & loss view where cost/expense data is maintained

Why payment-wise collection deserves its own check

Compare cash recorded in the POS with the physical cash handover. Compare card totals with the terminal or settlement record. Keep online or aggregator collections separate because settlement timing may differ from the order date.

If the total sales number is correct but payment modes are wrong, the shift may still fail to reconcile. The report should make the difference traceable without changing historical transactions just to force a balance.

Keep dine-in, takeaway, delivery and online visible

Order channels behave differently. Dine-in depends on tables, waiters and open checks; takeaway has a different fulfilment path; delivery can involve drivers, delivery charges or third-party platforms; online orders may have different settlement rules.

A useful EOD report lets the owner compare those channels directly. That helps when opening hours change, a delivery promotion runs, or management wants to know whether growth is coming from the dining room or off-premise orders.

Review cancellations, discounts and user activity

A high cancellation value may be legitimate, but it deserves context. Keep the bill number, user, time and reason visible where possible. The same applies to manual discounts and returns.

The objective is not to make staff afraid of correcting mistakes. It is to preserve an audit trail so the correction can be explained later.

Connect sales to stock and item movement

Restaurant sales data becomes more useful when popular items, raw-material usage and low-stock alerts can be reviewed alongside the day’s activity. If recipes or ingredient mapping are configured, stock movement can help identify unusual consumption or purchasing needs.

Do not expect the POS to calculate meaningful food cost if purchase prices, recipes and wastage are not maintained. The quality of the report depends on the operational data behind it.

What to do when the EOD does not balance

Do not edit the total until it matches. First check payment modes, open bills, cancelled transactions, refunds, delivery settlements and cash handover. Record the difference and the reason for any correction.

A documented small difference is easier to investigate than a “perfect” report created by changing transactions with no explanation.

A close-of-day routine staff will actually follow

Keep the sequence short: finish open orders, confirm payment modes, review cancellations/discounts, compare cash/card/online collections, review channel totals, check key stock alerts, save the EOD report and record the handover.

If the routine needs several spreadsheets every night, reporting should become part of the POS requirement—not a separate manual job after installation.

From our work

Our current restaurant POS work includes dine-in billing, takeaway and delivery, KOT/kitchen management, table management, inventory, credit customers, VAT billing/reports, tablet ordering and EOD sales/profit reporting. The checklist here reflects those operating requirements.

Common questions

Should the EOD report include VAT?

For a VAT-registered restaurant, daily reporting should make the VAT amount visible and traceable to the underlying invoices. Final tax reporting should follow the applicable FTA requirements and accounting process.

Should delivery sales be combined with dine-in?

Keep a consolidated total, but preserve channel-level reporting as well. The operating and settlement behaviour is different enough that management benefits from seeing the split.

Can the EOD report replace accounting?

No. It is an operating control and management summary. Accounting records, tax reporting and reconciliations still need their own processes.
